Make each product claim traceable to a current document.
Replace broad claims with specifications
A procurement buyer needs to know whether a product fits a defined use. Prepare a dated specification sheet with dimensions, material, tolerances, packaging and the tests you can substantiate. Include a version reference and a technical contact. Avoid unsupported labels such as best quality or export grade. If a certificate applies only to a facility, process or particular product, describe that scope accurately rather than placing the badge beside the entire catalogue.
Explain the path to a sample
State how a buyer requests a sample, which information is needed and who confirms suitability. Use a sample reference that can be linked to the proposed production specification. Record feedback in a consistent format: accepted requirement, requested change and unresolved question. Do not assume that a successful sample automatically approves a future bulk batch. Agree the inspection and acceptance process before treating the opportunity as commercially ready.
Make the quotation comparable
Ask for the required quantity, destination, packaging and delivery expectation before preparing a quotation. Show what is included and what remains subject to confirmation. Have the commercial team verify the applicable delivery terms and responsibilities. Capacity and lead-time statements should come from current production planning, not an old brochure. A clear qualification in a quotation is more useful than a confident promise that operations cannot keep.
Keep the pack alive
Assign owners to the specification, certificates, photography, commercial details and contact routes. Retire obsolete versions so distributors and salespeople do not circulate conflicting files. Review which questions buyers ask after receiving the pack; repeated questions reveal gaps. A useful pack should shorten the distance to a technical decision while preserving traceability. It is not a substitute for destination-specific regulatory checks or the buyer’s own qualification process.
