The roundtable should leave a useful document.

How to turn a sponsored discussion into decisions, unanswered questions and a credible follow-up resource.

A roundtable produces a structured follow-up document.

THE USEFUL IDEA

Design the output and attribution rules before inviting speakers, then distinguish agreement from an interesting conversation.

Write the document before writing the invitation

A roundtable can be successful without producing a group photograph. Start by naming the document that should exist afterwards: a two-page decision brief, an unanswered-question register or a comparison of three operating approaches. Define the reader who will use it and the decision it might support. A discussion about industrial supplier readiness, for example, could produce a checklist of information buyers need before a first order. That is an illustrative format, not a scheduled NUMU event. A specific output makes it easier to choose participants, allocate preparation and explain the sponsor’s contribution.

Recruit different positions around one question

Invite people because they can illuminate different parts of the question. A buyer, supplier, operating manager and researcher may expose different constraints; four executives with identical responsibilities may repeat the same story. Do not present a small invited group as a representative sample. Ask participants to prepare one concrete example, one limitation and one question they cannot answer alone. Avoid implying that an invitation guarantees coverage, endorsement or an award. If the organiser has a commercial relationship with a participant, record it so the editor can assess whether the eventual resource needs a disclosure.

Decide attribution and recording in advance

Choose the meeting’s publication rules before it begins. An on-record discussion and a non-attributed discussion require different handling. If using the Chatham House Rule, follow the actual rule and current guidance: information may be used without identifying participants or their affiliations, and the guidance excludes recording and AI notetakers inside the meeting. Do not call a recorded, attributed promotional event a Chatham House discussion. For another format, explain its consent, quotation, note-taking and distribution arrangements plainly. A confidentiality label should describe the agreed practice, not decorate an invitation.

Moderate for evidence rather than airtime

The moderator should move from broad opinions to specific operating conditions. Ask what happened, how it was observed, which people were affected and what else might explain the result. Give quieter participants room to challenge a general claim. Record disagreement rather than editing it into false consensus. Keep the sponsor’s welcome separate from the substantive discussion so the meeting does not become a disguised sales presentation. If an example contains confidential customer or employee information, ask for an anonymised version suitable for the agreed purpose, rather than collecting details simply because someone offers them.

Turn notes into a traceable outcome

Create an output table with four columns: observation, supporting basis, unresolved question and next action. A named action requires the person’s agreement; attendance is not consent to undertake work. Send attributed quotations for factual and permission checks where that process was agreed, without allowing participants to rewrite other people’s conclusions. Separate the editor’s synthesis from statements approved by the group. A useful final resource can acknowledge that no consensus was reached. Where evidence is missing, identify a next research step instead of filling the gap with an invented benchmark or unattributed expert opinion.

Give the sponsor a report without selling the room

Report what was delivered: the format, participating roles where disclosure permits, the resource published, the agreed follow-up and actual measured distribution. Do not transfer a participant list to a sponsor for marketing without the appropriate, explicit permission and process. A sponsor can receive recognition for making the discussion possible, and a defined opportunity to share relevant expertise under the same rules as other contributors. The commercial relationship should support a useful exchange. Its quality is better judged by the clarity of the resulting work than by the number of logos behind the chairs.
