A better packaging brief begins with the journey.

THE USEFUL IDEA

An accurate packaging brief defines the unit being bought and the conditions in which it must work.

Describe the actual product journey

“We need a stronger box” is an understandable request, but it is a weak purchasing specification. Stronger against which failure, on which journey and at what cost? Start with the product’s movement from packing to final use. Describe handling steps, storage, transport modes, unpacking and any return journey. Identify the observed problem with a photograph or a recorded incident rather than an adjective. A manufacturer in Oman can use this brief with local or overseas suppliers; it does not assume a particular transport route, climate exposure or regulatory requirement without evidence.

Separate the packaging levels

Name each packaging level separately: the item pack, the outer carton and any transport unit. State the quantity at each level and distinguish product weight from packaging weight and total shipment weight. Record the exact unit used in the quotation so that a price per bag cannot be confused with a price per carton. Include how the customer receives and opens the goods. If the outer carton is discarded at a distribution centre, it serves a different audience from a pack displayed to an end customer. That distinction should shape its information and presentation.

Make measurement reproducible

GS1 describes its package and product measurement standard as a way to make dimensions consistent and repeatable between trading partners. A practical brief should therefore state which pack is being measured, its condition and the measurement convention being used. Record units beside every dimension and identify the relevant drawing or reference item. Avoid copying dimensions from an attractive render without checking the physical sample. Ask the supplier to explain any tolerance or measurement assumption in its offer. The goal is a comparable specification, not an unsupported claim that the proposed packaging is GS1-certified.

Specify performance without guessing

Translate the journey into performance questions for a competent packaging specialist. What needs protection, what failure matters and how will the proposed design be assessed? Agree a suitable test approach and acceptance evidence for the actual product and route. Avoid choosing material thickness, stacking capability or barrier properties simply because a previous customer used them. Those are design inputs to validate, not universal prescriptions. If food contact, hazardous goods or other regulated uses are involved, identify the applicable specialist review separately. This brief helps organise that conversation; it does not replace technical testing or destination-specific compliance advice.

Turn artwork into controlled information

Keep the artwork file, approved text and production drawing under revision control. Mark the areas intended for product information, identification and handling instructions, and ask the buyer to confirm language requirements. Distinguish the designer’s proof from the printer’s production approval. Any claim about recycled content, recyclability or environmental performance needs an evidence owner and a defined meaning; do not add a green symbol merely because there is space. Record whether a barcode must be supplied or verified through the appropriate process. Treat changes after approval as decisions with cost and timing consequences.

Compare quotations against one brief

Send the same controlled brief to each shortlisted supplier and ask them to identify deviations explicitly. Compare the quoted unit, tooling, artwork work, minimum quantity, sample stage, delivery terms and what evidence is included. A lower price may cover a different pack or exclude a necessary activity. Request a revised comparison when the brief changes rather than mixing old and new quotations. Close the process with an approved specification and a named person responsible for later changes. Good purchasing creates a clear basis for acceptance; it does not need to turn every requirement into a lengthy document.
